Gathered In The Field Booking Policy

-These Booking Terms apply to all Gathered events.

1. Booking

Tickets are subject to availability.

A booking is confirmed once payment has been successfully processed and you receive a booking confirmation.

The person making the booking is responsible for ensuring all guests included within the booking have read and agree to these Terms.

2. Event Experience

Gathered creates shared outdoor dining experiences.

Guests should expect communal dining, seasonal menus and usually an outdoor setting.

While every event follows the same philosophy, each experience is unique and may vary depending on the venue, season and chef.

3. Menu

Menus are created using seasonal ingredients and are typically released approximately two weeks before the event.

Occasionally, menus may change due to ingredient availability or other circumstances beyond our control.

4. Dietary Requirements

Dietary requirements are expected to be provided at the time of booking or no later than seven days before the event.

We will always do our best to accommodate dietary requirements but cannot guarantee an allergen-free environment.

Guests with severe allergies attend at their own discretion.

5. Seating

Guests may be seated alongside other attendees as part of Gathered's communal dining experience.

Where possible, bookings for parties of five or over made together will be seated together.

6. Arrival

Arrival times will be provided before the event.

If you arrive late, you are still welcome to join the experience, although some parts of the event may already have begun.

7. Weather

Our events take place rain or shine.

Where required, a suitable covered or indoor contingency space will be used.

Events will only be cancelled where conditions make it unsafe to proceed.

8. Venue Changes

In exceptional circumstances, we may change the venue, date or layout of an event.

Where changes are significant, affected guests will be contacted as soon as reasonably possible.

9. BYOB

Unless otherwise stated, Gathered events operate on a Bring Your Own Bottle (BYOB) basis.

Guests are expected to drink responsibly.

Alcohol must not be sold or supplied between guests.

We reserve the right to refuse entry to, or remove, anyone whose behaviour is unsafe, aggressive or excessively intoxicated.

10. Photography

Photography and video may be taken during our events for marketing and promotional purposes.

If you would prefer not to appear in photographs, please notify a member of the Gathered team on arrival and we will do our best to accommodate your request.

11. Guest Conduct

We want every guest to enjoy the experience.

We reserve the right to refuse entry or ask guests to leave where behaviour is abusive, threatening, discriminatory, unsafe or likely to negatively affect others.

No refund will be given in these circumstances.

12. Cancellation by Gathered

If Gathered cancels an event (other than due to circumstances beyond our reasonable control), guests will be offered either:

  • A full refund; or

  • The option to transfer their booking to another event, where available.

13. Force Majeure

Gathered shall not be liable for cancellation or delay caused by events beyond our reasonable control, including but not limited to extreme weather, government restrictions, natural disasters, fire or other emergencies.

Where possible, we will seek to reschedule affected events.

14. Guest Cancellations

Ticket cancellation and transfer arrangements are set out in our separate Refund & Transfer Policy.

15. Liability

Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud or any other liability that cannot legally be excluded.

Subject to this, Gathered's total liability shall be limited to the value of the ticket purchased.

16. Accessibility

We aim to make our events as accessible as reasonably possible.

As our events take place in natural outdoor locations, accessibility may vary between venues.

Please contact us before booking if you have any accessibility requirements so we can advise whether a particular event is suitable.

17. Privacy

Personal information is processed in accordance with our Privacy Policy.

18. Governing Law

These Booking Terms are governed by the laws of England and Wales.

Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
